Job Description

We are seeking a detail-oriented and highly organized Documentation Specialist to manage, process, and maintain critical business documents with accuracy and legal compliance. This role requires an active Texas Notary Public Commission, as the specialist will regularly notarize documents related to contracts, legal records, financial transactions, and other business needs.

The ideal candidate will be experienced in handling confidential information, possess excellent written communication skills, and have a thorough understanding of document control and notarial responsibilities in the State of Texas.

Key Responsibilities:

  • Prepare, review, and manage a wide range of documents including contracts, agreements, affidavits, and regulatory forms.
  • Notarize documents in compliance with Texas state laws and company policies.
  • Maintain accurate logs and records of notarizations and document activities.
  • Assist departments with formatting, organizing, and archiving electronic and physical documents.
  • Coordinate document reviews, approvals, and signatures with internal and external stakeholders.
  • Ensure document retention practices meet state regulations and company policies.
  • Support audits, legal reviews, and compliance reporting by providing relevant documentation.
  • Provide administrative support for special projects involving legal or regulatory documentation.

Basic Qualifications:

  • Active Texas Notary Public Commission (must be maintained throughout employment)
  • High school diploma or GED required; Associate's or Bachelor’s degree preferred
  • 1+ years of experience in document control, legal administration, or a similar role
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, SharePoint)
  • Familiarity with document management systems (e.g., DocuSign, Adobe Sign, M-Files)
  • Strong organizational skills and attention to detail
  • Excellent verbal and written communication skills
  • Ability to handle confidential information with discretion
  • Occasional lifting of file boxes (up to 20 lbs) may be required
  • Must report onsite Monday – Friday

Preferred Qualifications:

  • Previous experience working in legal, financial, or real estate industries
  • Knowledge of Texas notarization laws and best practices
  • Experience with compliance or regulatory documentation
